Private Label Gift Packaging Wholesale: OEM Process & Brand Guide

Private label gift packaging — your brand on bags, boxes, and party supplies manufactured to your spec — is how retailers and distributors escape the commodity trap. Instead of reselling the same stock designs as every competitor, you own the design, the branding, and the margin. This guide explains the three private-label models, walks through the OEM process step by step, and gives you the MOQs, costs, and timelines to plan a launch.

What Are the Three Private Label Models?

White label (your logo on the factory's existing designs — fastest, MOQ from 1,000 pcs), custom OEM (your design manufactured to spec — full differentiation, MOQ from 3,000–5,000 pcs), and exclusive design (factory develops designs only you can buy — negotiated minimums, typically 50,000+ pcs/year commitment). Most brands start white label and graduate to custom OEM.

Custom OEMFull design, size, material, finish3,000–5,000 pcs/design25–35 daysEstablished retailers, distributors

The economics favor moving up the ladder as volume grows. White label typically costs 5–10% over the equivalent stock product (your branding applied); custom OEM at scale can actually cost less per unit than buying stock through a middleman, because you remove a trading layer. Our factory guide explains how to vet the manufacturing partner behind any of these models.

How Does the Custom OEM Process Work, Step by Step?

Six steps: 1) brief and dielines (you supply branding, factory supplies structural dielines), 2) artwork and pre-press proof (digital proof in 2–3 days), 3) physical pre-production sample (7–10 days, air-freighted), 4) sample approval in writing, 5) bulk production (15–25 days), 6) QC and shipment. Never skip step 3 — the physical sample is the only binding reference for the bulk run.

What Does Private Label Packaging Cost?

Budget three cost layers: one-time setup (printing plates $100–300 per design, dies $150–400 if custom shapes), unit cost (white label +5–10% over stock; custom OEM quoted per spec), and branding extras (foil stamping, embossing, custom header cards). Amortize setup over your first-year volume to get the true per-unit cost.

A realistic first-order budget for a 5,000-piece custom gift-bag run: setup around $300–500 total, unit cost depending on size and finish, plus freight. At 20,000+ pieces the setup cost becomes negligible per unit and you should be negotiating unit-price breaks at 10k/25k/50k tiers. Always get the tier pricing in the first quote — re-quoting later weakens your position.

How Do You Protect Your Designs?

Three protections: a manufacturing agreement with a non-compete/non-disclosure clause covering your designs, trademark registration of your brand in your home market before the first shipment lands, and mold/die ownership terms in writing (you paid for the die — the contract should say it's yours). A factory that resists any of these is telling you something.

For exclusive-design arrangements, add a market-exclusivity clause with a defined territory and term, plus a remedy (not just a promise) if the factory sells your design elsewhere. Keep your vector artwork and dielines in your own files — never rely on the factory as the sole holder of your brand assets.

When Should a Retailer Move from Stock to Private Label?

Move when three conditions align: you reorder the same category at least quarterly, your annual volume per design exceeds 5,000 pieces, and competitors selling identical stock designs are compressing your margin. Below that threshold, white label on stock designs gives you 80% of the branding benefit for minimal commitment.

The seasonal calendar drives timing: start the OEM process 120 days before you need private-label Christmas packaging on shelf, 90 days for everyday designs. Rush OEM is possible but you lose the sample-approval safety net — the single most expensive mistake in private label is approving bulk from a photo to save ten days.
